WHAT IS RECORDS MANAGEMENT?

Records management can be conceptualised through the lens of a Records Lifecycle.

The Records Management officer is available to offer guidance and expertise at every stage of the lifecycle. This includes maintaining and preserving BSBC records, ensuring compliance with the BSBC Classification and Retention Schedule, and providing direction on what steps to take when records are no longer actively used.

OUR COMMITMENT TO RECORDS MANAGEMENT

The BSBC Records Manager oversees the governance, protection, and administration of information maintained by the organization, whether in physical or electronic form.

Data Owners, senior stakeholders within the BSBC, hold accountability for the quality of data managed within their respective faculty/department. The Records Management team collaborates with them to uphold high standards of recorded information.

ELECTRONIC DOCUMENT AND RECORDS MANAGEMENT SYSTEM (EDRMS)

The BSBC utilises Google Drive and its own Education Management System as our Electronic Document and Records Management System (EDRMS) to effectively manage our digital data. Appropriate disposal, ensuring compliance with legal requirements and preventing the accumulation of unnecessary data within our systems is done at regular intervals.

RECORDS RETENTION AND CLASSIFICATION

Both physical and digital records held by the BSBC are subject to designated retention periods. These periods, ranging from a few months to permanent retention, are determined by statutory, legal, regulatory, or business compliance requirements. In cases where such guidelines are absent, retention periods are assessed based on the balance between the risks associated with destruction and the costs of retention. These parameters are outlined in the BSBC Classification and Retention Schedule.

Data stored in our EDRMS undergoes automatic classification and retention assignment. In the case of physical records, this process is manual, and it falls upon data owners and their teams to ensure that records are maintained for the appropriate duration. The Records Management Officer oversees the records of the BSBC as an institution. However, it's important to note that records pertaining to students are managed by dedicated Student Admin Teams. Please contact.. contactus@bsbcuk.co

  • Physical records –After determining that a record has reached the conclusion of its lifecycle and is deemed not to hold archival value, it may be securely destroyed. To ensure this process is conducted safely and with proper regard for confidentiality, BSBC requires staff to adhere to the Disposal of Records Procedure.
  • Electronic Records –Records destruction is carried out automatically by the Records Management Officer in collaboration with the Data owners.
